Islamabad: Allama Iqbal Open University (AIOU) has inducted office-files management system in its daily working for smooth and efficient handling of administrative matters.
The new system called ‘AIOU Dak Management’ is operated through computer software to promote the concept of good governance, said Vice Chancellor Prof. Dr. Shahid Siddiqui.
The software helps check the status of files. The files are mostly related to students or employees’ interest. Deliberate delaying of the routine matters is not possible with the new arrangement, he added.
The web-based software has been developed by the University’s Directorate of Information and Communication Technology. It stores the basic information which is normally recorded in files’ movement Register manually. The system ensures that only relevant users can access to it.
The new system provides necessary statistics for tracking a pending file and reporting work load. It also makes available aging report, showing the files’ retaining period by the department.
Dr. Shahid Siddiqui said the whole exercise is aimed at bringing about efficiency at the part of each department so that best possible services could be provided to around 1.3 million students of the University and to have better care of the employees. For this purpose, focus has also been laid on professional development of the employees for their capacity-building. Workshops and seminars are being arranged regularly to update their knowledge and skill, he added.
